Privacy Policy

Last updated: July 2026

This Privacy Policy explains how Sunny Sands Inn (“Sunny Sands Inn,” “we,” “us,” or “our”) collects, uses, discloses, and protects information in connection with our website at www.sunnysandsinn.com (the “Website”), our reservation services, and your stay at our property at 450 Victoria Street, Costa Mesa, California, 92627.

By using our Website or making a reservation, you agree to the terms of this Privacy Policy. If you do not agree, please do not use our Website or services.

1. Scope of This Policy

This Privacy Policy applies to information we handle through:

  • Our Website and any content or forms displayed on it
  • Reservations made directly with our property
  • Reservations made through third-party channels that share data with us
  • Communications you send us by phone, email, or text message
  • Interactions you have with us during your stay at our property

This policy does not apply to third-party websites, applications, or services that we do not own or control, even when linked from our Website. Third parties have their own privacy practices, and we encourage you to review them.

2. Information We Collect

We collect information in three ways:

Information You Provide Directly

When you contact us or make a reservation, you may voluntarily provide:

  • Contact information: your name, email address, phone number, and mailing address
  • Reservation details: check-in and check-out dates, room type, number of guests, special requests, and payment information (processed by our reservation partner — see Section 4)
  • Identification: at check-in, a valid government-issued photo ID is required for verification. We do not retain a copy of your ID after verification unless required by law.
  • Communications: the content of emails, phone calls, text messages, and any messages you send through our contact form

Information Collected Automatically

When you visit our Website, certain information is collected automatically by standard web technologies, including:

  • Device and browser information: device type, operating system, browser type and version, screen resolution
  • Usage information: pages visited, time spent on each page, links clicked, referring website, and general navigation patterns
  • Location information: general geographic location derived from your IP address (for example, city or state — not precise GPS coordinates)
  • Access logs: your IP address, request time, timestamps, and other standard server log data

Information from Third Parties

We may receive information from third parties such as:

  • Reservation booking platforms and travel agencies you use to make a reservation with us
  • Payment processors that verify your payment method
  • Analytics providers that help us understand how our Website is used

3. How We Use Your Information

We use the information we collect for the following purposes:

  • To process and manage reservations, including confirming bookings, sending check-in details, and coordinating special requests
  • To communicate with you, including responding to questions, sending booking confirmations and receipts, and notifying you of changes to your reservation
  • To provide guest services during your stay, including check-in, room assignment, and requests for assistance
  • To operate, maintain, and improve our Website and services
  • To protect the security and integrity of our Website, our property, our staff, and our guests
  • To comply with legal obligations, including tax, accounting, and record-keeping requirements
  • To send occasional promotional communications if you have opted in to receive them (you can opt out at any time)

4. How We Share Information

We do not sell your personal information. We share information only in the following limited circumstances:

  • With service providers who help us operate our business. Our main reservation partner is Anand Systems, which operates the ASI WebRes reservation portal at reservation.asiwebres.com. When you make a reservation, your booking and payment information is submitted to and processed by Anand Systems under its own terms and privacy practices. We encourage you to review their policies.
  • With payment processors for the sole purpose of processing your reservation. We do not store your full credit card number on our systems.
  • With analytics providers to help us understand Website usage in aggregate.
  • When required by law or in response to valid legal process, such as court orders, subpoenas, or requests from law enforcement.
  • To protect our rights, safety, or property, or the rights, safety, or property of others.
  • In the event of a business transaction such as a merger, acquisition, or sale of assets, in which case personal information may be transferred as part of the transaction, subject to standard confidentiality protections.

5. Cookies and Similar Technologies

Our Website uses cookies and similar technologies. Cookies are small text files stored on your device that help websites function properly.

Essential Functionality

By default, our Website loads only the content and functionality needed to display our pages. We do not use our own advertising cookies or first-party marketing trackers.

Embedded Third-Party Content

Certain features on our Website rely on third-party services. To protect your privacy, we load these only when you actively interact with them:

  • Maps. Our location map is provided by OpenStreetMap and loads to display our location.
  • Fonts and libraries. We use common web fonts and script libraries delivered through content-delivery networks to display the Website correctly.
  • Reservations. The third-party reservation portal (Anand Systems / ASI WebRes) may set cookies when you use it to search availability or book.

Your Cookie Choices

Because privacy-affecting third-party content loads only when you interact with it, you can avoid third-party cookies by not activating those features. You may also control or delete cookies through your browser settings; most browsers allow you to refuse or remove cookies, though some Website features may not function as intended if you do.

Do Not Track

Because our Website does not track visitors across third-party websites for advertising, we do not respond to browser “Do Not Track” signals in a specialized way.

6. Data Security

We use reasonable technical and organizational measures to protect your personal information from unauthorized access, disclosure, or misuse. Our Website is served over encrypted connections (HTTPS), and our reservation partner uses PCI-compliant payment processing.

However, no method of transmission over the internet is completely secure, and we cannot guarantee absolute security. You are responsible for keeping your reservation confirmation number and account credentials confidential.

7. Data Retention

We retain personal information only as long as necessary to fulfill the purposes described in this Privacy Policy, comply with legal obligations, resolve disputes, and enforce our agreements. Reservation records are typically retained for at least seven (7) years to meet tax and accounting requirements. Guest inquiry emails are typically retained for two (2) years, unless a longer period is needed to respond to your request.

8. Your California Privacy Rights

If you are a California resident, the California Consumer Privacy Act (CCPA), as amended, may provide you with certain rights regarding your personal information, including:

  • Right to know: the right to know what personal information we collect, use, disclose, and sell (we do not sell personal information)
  • Right to access: the right to request a copy of the personal information we have collected about you
  • Right to delete: the right to request that we delete personal information we have collected, subject to certain exceptions
  • Right to correct: the right to request correction of inaccurate personal information
  • Right to opt out of sale or sharing: the right to opt out of the sale or sharing of your personal information (we do not sell or share for cross-context behavioral advertising)
  • Right to non-discrimination: the right not to receive discriminatory treatment for exercising your privacy rights

To exercise any of these rights, contact us at tahitiinn2020@gmail.com or (949) 287-6717. We may need to verify your identity before responding. We will respond consistent with applicable law, typically within 45 days.

9. Children’s Privacy

Our Website is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If we become aware that we have collected personal information from a child under 13 without a parent’s consent, we will delete it.

10. Marketing Communications

We may send you occasional promotional emails if you have opted in to receive them. Every marketing email includes an unsubscribe link at the bottom. You can also opt out by emailing tahitiinn2020@gmail.com with the subject line “Unsubscribe.” Transactional communications about your reservation are not subject to marketing opt-out.

11. International Users

Our Website is operated from the United States. If you access our Website from outside the United States, your information may be transferred to, stored, and processed in the United States. By using our Website, you consent to this transfer.

12. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the “Last updated” date at the top of this page and, where appropriate, provide additional notice on our Website. Your continued use of our Website or services after changes are posted constitutes acceptance of the updated policy.
